CHALLENGES & SOLUTIONS

Every service provider has the challenge of providing a functional system while being sensitive to certain limitations that a client may face. This system has to be result driven, proactive and with a definite game plan as to what is to be achieved within a stipulated period of time.

This is the principle on which our work is based.

Our focus is always to create Security Management systems that are in total sync with the management, have the ability to think out of the box and is in the loop at all times resulting in a more effective system with better resource management.

RGF being a forerunner in innovative ideas and solutions has kept ahead by providing progressive Security & Safety mechanisms, which have been in line with Global best practices. Some of the internal mechanisms that have enabled us to maintain quality services are,

1 Prevention Based Mechanism

We work on a Preventive and Proactive Mechanism, the basic objective of which is to ensure that all systems are being audited on a continuous and regular basis and to further streamline the operations while striving for excellence and having an efficient preventive based security mechanism.

This structure depends on the agency’s ability to

1. Audit and identify loopholes in the existing security set up
2. Provide specific and innovative solutions to address these concerns
3. Provide swift and efficient execution

These audits are conducted by the senior management of the RGF team and include feedback received from the client. These audits would include:

1. Surprise Visits/Night Checks
2. Security Audit – Systems, Procedures, Fire Systems etc
3. Mock Fire Drills
4. Mock emergency Drills
5. Pilferage control

2. Qualitative Service Deliverables The key to consistent and progressive services is to have a measure of tangible progress based on Qualitative Service Deliverables. It is therefore imperative to specify in black and white specific Key Result Areas and time lines.

This allows us to analyze information and feedback generated through Client feedback, Supervision, Internal Audits & MIS and review it against the Key Result Area’s (KRA’s)/targets spelt out.

KRA’s could include for example:

1st Quarter:                  Immediate (1st to 3rd month)

1. Build Basic procedures & Systems
2. Modular checks & Delivery
3. Training – Staff & Security Personnel
4. Fire Safety audit

2nd Quarter:                 Short term (4th to 6th month)

1. Review process
2. Monthly training – Staff & security personnel
3. Audit loopholes
4. Review Alarm systems & CCTV systems
5. MIS – statistics

3rd Quarter:                 Medium term (7th to 9th month)

1. Random Audits (effectiveness of systems)
2. Refresher training
3. Resources management review

4th Quarter:                 Ongoing (10th month onwards)

1. Process driven
2. Modular & consistent delivery
3. 100% compliance – Staff & Security personnel
4. Liaison activities (police/ managers)- ongoing

The scope of work (above points) would be clearly defined and documented, to ensure that both the organisations are clearly aware of the services to be delivered. Specific tasks would be identified and executed. Monthly review meetings and daily/ weekly review’s by the concerned people will ensure that these are being followed and within the stipulated timeframe.
